Job Description

JOB SUMMARY

 

 

  • Develop and implement facility management program including preventative maintenance and life-cycle requirements
  • Supervise maintenance and repair of facilities and equipment, Conduct and document regular facilities inspections
  • Adherence compliance with health and safety standards and industry codes
  • Allocate and manage facility space for maximum efficiency
  • Oversee facility renovations onsite, and off-site refurbishments at Corporate & Regional Offices

 

1. PRIMARY RESPONSIBILITIES

Business

  • Obtain quotes and tenders from vendors and suppliers; Ensure comparative costs for goods and services

Manage and review service contracts to ensure facility management needs are being met

Develop and implement cost reduction initiatives

Assure security of members operating out of corporate and regional office premises utilizing facility

Customer

Advise on and monitor energy efficiency

Oversee environmental health and safety

  • Coordinate intra-office moves

Manage contractor and vendor relationships

  • Provide prompt response to requests and issues from facility occupants
  • Generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases
  • Coordinate and monitor activities of contract suppliers

I nternal process

  • To maximize Cost Effectiveness Negotiate contracts to optimize delivery and cost saving

Ensure delivery schedules, quantity and quality criteria are met

Check completed work by contractors and vendors

Verify payment and invoicing match contract pricing

Ensure efficient utilization of facility maintenance staff

Prepare and track facility budget

Monitor expenses and payments

 

Learning & Performance

  • Plan and monitor appropriate facility management staffing levels with proper training

 

Manage performance, develop and train staff

  • Adherence to performance management system.
