Job Description:

 

  • To book Bus/ train / airline ticket reservation and provide support to the department ensuring all documents issued are of the highest standard and filing and data is up to date at all times.
  • To successfully manage & grow the relationship with internal business associates by handling all Travel required services.
  • Managing travel plans for all staff, this includes managing booking for airlines, trains cabs and hotels.
  • Ability to transfer knowledge about products and services in the field of travel. Ensuring that the best rates and travel and stay plans are opted for at all times. Negotiate rates.
  • Coordinate and email the plans, booking details to all employees. Ensure this is done seamlessly.
  • Responsible for renewal of annual hotel contracts and negotiating rates along with the Manager Admin.
  • Handle Visa applications and formalities for the employees as needed.
    Maintain and swiftly resolve employee feedback of hotels and travel facilities as needed.
  • Maintain and update the travel and stay entitlement sheet for all teams & employees regularly.
  • Maintain the monthly travel expense sheet.
  • Maintain and approve all travel bills and email them to finance department by the end of each month.
  • Handling employee queries regarding travel and crafting itenaries.
  • Actively maintain contact with third party vendor and providing solutions.
  • Will work on empanelment with different travel portals and agents according to the needs

 

Responsibilities:

 

  • Procurement of quality and economic travel, transport and stay arrangements as per applicable policy and eligibility for all employees through online booking and vendor service providers.
  • Co - ordination with empaneled travel agencies for booking Air / Rail / Bus tickets on requirement of internal department/functions for official/business travel
  • Help design and create travel itineraries for stakeholders based on their requirements adhering to In - house travel policies and procedures.
  • Negotiate best tariffs with various travel service providers ensuring cost optimization and cost effectiveness.
  • Visa Processing, Travel insurance, Forex arrangements of employees traveling abroad.
  • Hotel accommodation bookings after negotiating the best deal.
  • Support Travel Desk arrangements Round the clock operations.
  • Car Rental arrangements and cab arrangement is done considering request & making optimum utilization of cab.
  • Ensure compliance in all aspects of travel procedures
  • Handling Employee Reimbursement
  • Forex card Reconciliation and tracking
  • Travel Reconciliation Reports
  • Negotiate contracts or rates with travel service providers
  • Provide advice on travel documents, insurance, import/export regulations etc

 

Required profile:

 

  • Graduate having proven experience as front desk representative; additional qualifications will be a plus.
  • Min. 5 - 7years of experience in the same domain with knowledge of global visa and immigration rules
  • Proficient in English (oral and written)
  • Excellent knowledge of MS Office (especially Excel and Word)
  • Good Communication skill.
  • Candidate should be from Travel domain only.
  • Minimum 01 Years of experience in the offline company.
  • Corporate handling experience is must.
  • Must have experience into reputed corporates
  • Well versed with issuance of Domestic or international tickets.
